The Corporation of the City of Mississauga (the "City"invites bids from qualified bidders in response to this Request for Proposal (NRFP) for an Online Submission Management Software solution. Currently, the City’s processes certain application submissions through SurveyMonkey Apply on three (3) separate sites. Under this Statement of Work, the Supplier will improve the City’s current processes by executing the Project goals and objectives detailed herein. The intent is for the City of Mississauga to enter into a long term relationship with the Supplier. The City is seeking a solution that is capable of meeting its business and operational needs for an initial term of up to five (5) years with an option to extend the agreement for up to an additional five (5) year term. The City has engaged the Supplier to undertake this project to implement an online submission management software that supports three (3) divisions and four (4) different business units within the City of Mississauga for application-based processes. The software will support a workflow that includes application intake (including multi-year applications), review, applicant notifications, reporting (including final report submissions) and archiving capabilities, with built in automations and triggers in the workflow. The software will be easy to use by non-IT staff and allow for customized application portals that can be updated year-to-year and project-to-project. The anticipated outcomes of this project will be to provide an online submission management software that streamlines the application, review and reporting processes to support the business units involved including, Grants (Community Development & Heritage), Celebration Square (Event Development), Tourism Event Hosting (Economic Development) and Public Art (Culture Planning – Parks). This project includes supply, installation, configuration, subscription, maintenance & support, licensing, professional services, integration, and ongoing annual operational costs. The supplier should provide fixed term pricing for each of the optional years. |
